What you will do

The PMO Lead will be responsible for establishing a governance framework to track and manage strategic initiatives, improve operational efficiency, and drive program excellence across the organization. This role will ensure alignment between engineering, product, and professional services teams, particularly in transitioning from legacy systems to the Quantum Platform. Additionally, the individual will play a key role in optimizing processes, reducing ticket volumes, and enhancing the overall customer experience.

 

Key Responsibilities

Governance & Strategic Initiative Management

  • Develop and maintain a governance framework to track and manage strategic initiatives across the company, ensuring alignment with business objectives.
  • Establish standardized processes and templates to manage initiatives effectively, improving visibility and execution.
  • Provide program-level oversight and drive governance across software functions, ensuring consistency in execution and reporting.

Program & Process Management

  • Lead and coordinate efforts across engineering, product, and professional services teams to facilitate the seamless transition from legacy systems to the Quantum Platform.
  • Enhance program management methodologies, ensuring adherence to PMO best practices and continuous process improvements.
  • Participate in initiatives aimed at reducing ticket volumes and improving customer experience, working closely with cross-functional teams to implement proactive solutions.
  • Identify inefficiencies in project execution and introduce process optimizations that improve time-to-market and resource utilization.

Stakeholder Engagement & Communication

  • Act as a central point of contact for cross-functional coordination, ensuring seamless collaboration between teams.
  • Provide transparency to senior leadership and stakeholders through structured reporting, performance tracking, and risk management updates.
  • Maintain clear communication with internal teams and external stakeholders to align expectations and ensure smooth execution of strategic programs.

Performance & Risk Management

  • Define, track, and manage key performance metrics (KPIs) to assess program execution, resource utilization, and risk mitigation effectiveness.
  • Identify, assess, and mitigate risks associated with program execution, ensuring proactive risk management strategies are implemented.
  • Oversee budget and investment allocations, prioritizing initiatives that drive business growth and customer satisfaction.

Continuous Improvement & Quality Assurance

  • Implement and monitor quality assurance processes to maintain high standards in program and project delivery.
  • Foster a culture of continuous improvement by identifying areas for efficiency gains, optimizing workflows, and adopting industry best practices.
  • Lead efforts to streamline operational processes and enhance the scalability of project execution within the organization.

 

Metrics & Key Performance Indicators (KPIs)

  • Strategic Initiative Execution: Effectiveness in tracking and managing high-impact strategic programs.
  • Resource Utilization: Optimization of talent, technology, and financial resources across programs.
  • Risk Mitigation: Efficiency in identifying and resolving program-related risks before they impact timelines.
  • Customer Experience Impact: Contribution to ticket reduction and overall enhancement of customer satisfaction.
  • Process Improvements: Tangible enhancements in PMO efficiency, methodology adoption, and governance standards.

What you should bring

Qualifications & Experience

  • 10+ years of experience in Program Management, PMO, or Business Operations, with at least 5 years in a leadership role.
  • Proven track record in establishing and driving governance frameworks for managing strategic initiatives.
  • Experience working in software, SaaS, or technology-driven companies with a strong understanding of engineering, product, and professional services collaboration.
  • Strong knowledge of program management methodologies (Agile, SAFe, Waterfall, etc.) and industry best practices.
  • Experience in enterprise-wide transformation programs, such as legacy-to-modernization platform upgrades.
  • Demonstrated ability to improve processes, templates, and operational efficiency in PMO or strategic program environments.
  • Exposure to customer support processes and experience driving ticket reduction/customer experience improvement initiatives is a plus.

 

Skills & Competencies

  • Strong strategic thinking and problem-solving abilities to manage multiple high-impact initiatives.
  • Excellent stakeholder management skills, with the ability to engage and influence executives, product leaders, engineers, and cross-functional teams.
  • Ability to drive alignment between teams while ensuring programs stay on track.
  • Proficiency in project management tools (JIRA, Confluence, Smartsheet, Monday.com, etc.).
  • Strong data-driven decision-making skills, with the ability to analyze performance metrics and identify improvement opportunities.
  • Excellent communication and presentation skills, capable of delivering clear and impactful program updates to senior leadership.

 

Preferred Qualifications

  • PMP, PgMP, SAFe, or Agile certifications are a plus.
  • Experience in large-scale digital transformation projects is highly desirable.
  • Exposure to AI, ML, or Cloud-based platforms is beneficial but not required.
