What you will do

In this role, you’ll support the global events team by driving thoughtful outreach, managing event logistics, and ensuring every detail of our hosted and sponsored events is executed smoothly.

 

Event Outreach & Audience Sourcing

  • Identify and source appropriate prospects for GEP-hosted and sponsored events (e.g., Directors of Procurement at target accounts)
  • Build and refine outreach lists using LinkedIn and event buyer personas
  • Draft accurate, personalized outreach messages and collaborate with internal stakeholders for review and approval

Event Logistics & Coordination

  • Research and secure venues for executive roundtables, leadership dinners, and other hosted events in key cities
  • Collect quotes, negotiate contracts, and manage full-cycle logistics
  • Coordinate with presenters and speakers for remote sessions, pre-records, and run-of-show support
  • Support logistics for sponsored industry conferences, including signage, booth materials, giveaways, and staffing schedules

Vendor & Materials Management

  • Source executive gifts, branded swag, and printed collateral
  • Manage vendor relationships to ensure quality, timeliness, and cost-effectiveness
  • Oversee design and production of event signage and supporting materials

What you should bring

  • Strong attention to detail and a commitment to quality
  • Proactive communication and comfort working across teams
  • Ability to think strategically about audience fit, messaging, and event objectives
  • Experience in event marketing or campaign marketing preferred (SaaS/B2B experience a plus)
  • Ability to work independently, manage deadlines, and handle multiple events simultaneously
  • High level of professionalism, especially with accuracy of names, titles, and messaging
  • Must be based in the Eastern Time Zone and able to work aligned to EST business hours

 

This is a part-time contract position. The hourly rate for this role is $50.00. Contractor roles are not eligible for GEP employee benefits.
